This Privacy Policy applies to information collected through BPO REO Machine and related customer communications and services. By using the Services, you acknowledge the practices described in this Privacy Policy.

We may collect Account Information such as name, email, phone, credentials and company information; Billing and Subscription Information such as subscription status, transaction information, billing history and payment-related identifiers; BPO and Property Information such as addresses, order details, property characteristics, comps, photos, comments, valuations, adjustments, deadlines and client information; Imported Information from MLS exports, tax/public records, CSVs, PDFs and other documents you provide; Technical Information such as IP address, browser, device, operating system, application activity, timestamps and error logs; and Communications such as support requests, feedback and correspondence. Payment card information may be processed directly by third-party payment processors rather than stored by us.

We may use information to create and maintain accounts; authenticate users; process and manage subscriptions; provide BPO/REO workflow, import, storage, autofill and automation functionality; provide support; diagnose problems; maintain security; improve Services; communicate account information; send marketing where permitted; prevent fraud and misuse; and comply with legal obligations.

BPO REO Machine may process information concerning properties, BPO assignments, order numbers, clients, asset managers, comparable properties, photographs, comments, valuations, adjustments, deadlines, fees, payment status, workflow status, and other real-estate-related information at your direction. You are responsible for ensuring you have appropriate authorization and rights to provide and process such information. We use this information to provide requested workflow, storage, automation, reporting, import, export, and autofill functionality.

If you use email forwarding, Email Automation, or a connected email account, BPO REO Machine may receive and process messages and related metadata that you make available to the Services. This may include sender and recipient information, subject lines, message content, order information, payment information, deadlines, revisions, cancellations, status changes, and other assignment-related content. We use this information to identify, create, match, update, and manage BPO/REO orders and related workflow actions. You are responsible for configuring what information is provided to the Services and for ensuring you have authority to disclose and process the contents of those communications.

Certain features may use automated systems and artificial intelligence to extract, classify, summarize, generate, or process information you provide, including emails, documents, property information, comments, and order data. Information may be transmitted to service providers that support these functions when necessary to provide the requested feature. Automated processing may also be used to match communications to existing orders, populate fields, assist with comments, and support workflow actions. BPO REO Machine is designed as a software tool; users remain responsible for reviewing automated or AI-generated output before relying on or submitting it.

We do not sell your personal information or BPO/order data.

We do not use your confidential BPO assignment data, client data, or connected-email content for third-party advertising. We may disclose information to service providers and subprocessors that help operate BPO REO Machine, including cloud hosting and databases, authentication, payment processing, email delivery and processing, SMS/communications, artificial intelligence and automated data processing, mapping and property imagery, analytics, customer support, and software infrastructure. We may also disclose information when required by law or legal process, to protect rights, users, systems or the public, or as part of a merger, acquisition, financing, restructuring, or sale of all or part of the business.

BPO REO Machine may integrate with third-party platforms and services. Information transmitted to a third party may also be governed by that provider’s privacy policy. For example, mapping functionality may involve Google Maps Platform services and payments may be processed through third-party payment providers.

We may use cookies, local storage, authentication tokens, and similar technologies to maintain login sessions, remember preferences, improve functionality, measure usage, and maintain security. Disabling them may prevent portions of the Services from functioning properly.

We use commercially reasonable administrative, technical, and organizational safeguards designed to protect information. No internet-based service or storage system can guarantee absolute security.

We may retain information as reasonably necessary to provide Services, maintain legitimate business records, preserve security and audit records, comply with legal obligations, resolve disputes, prevent fraud, and enforce agreements. We may minimize or delete source email content and other transient automation data when it is no longer reasonably necessary for the applicable feature. Account cancellation does not necessarily require immediate deletion where retention is permitted or required by law, including information retained in backups, security records, legal records, or transaction history.

Where permitted and appropriate consent has been obtained, we may send promotional communications. Unsubscribe from marketing emails using the included mechanism. Reply STOP to eligible SMS marketing communications. Service-related communications necessary to administer your account may continue after marketing opt-out.

Depending on applicable law, you may have rights to request access, correction, or deletion of personal information. Submit requests to [email protected]. We may need to verify your identity.

California residents may have additional rights under applicable California privacy laws. Eligible residents may contact [email protected] to submit a privacy request.

BPO REO Machine is intended for adults and professional/business use. We do not knowingly collect personal information from children under 13, and accounts are not intended for individuals under 18.

We may periodically update this Privacy Policy. The Effective Date at the top identifies the latest version.
